Task 9

Now you have developed the database, it is time to really test it.

First you need to use the system yourself and make careful notes of your actions, as you will be creating a User Guide for others to use to carry out these tasks too.

Action 1
Print off a copy of your data capture sheet and fill it in with the details of a new family contact.

Add this person to your database and send them an invitation to the party - don’t forget to print the envelope too.

Action 2
Write a memo from a family member saying that one of their contacts is not now needed.

Print it off.

Delete this record from the database.

Action 3
You realise that most of your friends now have e-mail addresses. Add a field to their records for their e-mail addresses. Add a record of a new friend, send an e-mail to that friend with an attachment of their party invitation.

Action 4
Print out your amended database and label it up to show the changes you have made.

Action 5
Having used the database prepare some sample records for others to add to the database. Make sure some of the records contain errors so that they can tell you what happens.

When you are satisfied that the database is working well, create a User Guide to enable others to make use of the database.
