Resource Sheet 5

System Implementation

Look carefully at the Context and decide what the old system was and how it will be done in the new system.

Draw out a sheet similar to this one. Complete the sheet to help you to work out how to manage changes between the old system and the new system.

Once designed, the system then has to be put into use at the centre. This is called implementation.

Implementation of a system requires much planning.

There are three main types of implementation:

Overnight
The system is put into place and replaces the old system immediately. This is quite risky and can lead to major problems if the system fails and problems have to be sorted out as it is running.

Dual
The old and the new systems are run side by side and the new system only takes over when all the problems are ironed out and people are happy with the system. This is probably the best way but it is very costly.

Phased
The introduction of the new system is phased in department by department and, as the system is used and the problems identified and ironed out, the next department is trained in using the new system ready to start with the next phase.

It is important that the existing work runs as efficiently as possible whilst the new system is developed and implemented.

How will you manage the changeover from the old system to the new?
